Asana Term Glossary

  • Task :: The most basic item in the Asana ecosphere. A task may be assigned to you by yourself or by another team member. Here you’ll find more information about a given “to-do.” Tasks must have an assignee and a due date to not vanish into the ether. 
  • Project :: A collection of organized tasks. For Mosaic, we create a project for every event/meeting/course/training/etc. When an “R” submits an Event Support Form, our Director of Events uses that information to build a project. Projects have multiple sections.
  • Section :: A grouping of like tasks within a project. We typically group sections by team. The most common sections include: Planning, Admin, Comms, Facilities, Tech, and Childcare.  
  • Assignee :: To whom a task is assigned. An assignee may edit this assignment but should notify the new recipient to ensure the task is completed. 
  • Due Date :: The date at which a task must be completed. An assignee and/or the assigner may edit this date as needed but must ensure the task is completed in ample time for the project in which it is assigned. Note: a task may occur over the course of multiple days. In some views, the task will only become visible on its final day (i.e. on Mosaic Calendar.) If there is a range of dates a task may be accomplished, be sure the final date gives enough time before the event may take place. One single date for a task is optimal. If a task is recurring, be sure to use the recurring function (circular arrows icon) instead of listing the range of dates. 
  • Description :: A space for key details within a task. Best practice is to include details here when you create a task for another team member. 
  • Comments :: A space to begin a conversation with other collaborators on a task. Located at the bottom of a task, be sure to “@” anyone when commenting to ensure they receive the message in their Asana Inbox. 
  • Collaborators :: The additional people you may want to include on a task. This is likely your team members or manager. For example, because our Facilities team splits their tasks depending on the urgency of the assignments, one might add the Facilities Tech as the “assignee” but include the Facilities Supervisor as a collaborator. Essentially the person doing the task is the “assignee” and anyone collaborating or needing to be “in the know” on a task is added as a collaborator.
