Understanding the Mosaic Calendar in Asana

How Events are Added to the Asana Mosaic Calendar

When an “R” submits an Event Support Form, an item with all of the included information is automatically created in the Asana ecosphere.

The item then prompts the Director of Events to build a Project for the event/meeting/course/training/etc. Once created, this project will house all of the individual Tasks (across all teams and assignees) necessary to make the event happen. For more information on tasks and projects, see the Introduction to Asana Tasks article.

Once this project has been created, the Director of Events then adds the original item to the Mosaic Calendar, thus making the event “official.”

If you, an “R”, have submitted an Event Support Form but do not yet see your event on the Mosaic Calendar, it could be for one of these reasons:

Your Event Support Form was not completed fully or properly. You should receive an email after every Event Support Form submission. If you did not receive this email, it is most likely that your submission did not complete. Please re-submit another form.

The Director of Events has not yet processed the event. This is often likely because your event submission is far out into the future. We do require at-least a six-week lead time and any submission with more time is ideal; however, if your event is more than three months in advance, the Director of Events will likely not process the event immediately.

Your event might be in another Section of the Asana Mosaic Calendar. When reading the Mosaic Calendar List, don’t forget to scroll down.

Understanding the Three Sections of the Asana Mosaic Calendar

The three main Sections of the Asana Mosaic Calendar are titled Events or Meetings, Recurring Events or Courses, and Staff Leave.

The Events or Meetings section will house one-off events and meetings or events that occur annually. Most non-church events (NCE) will be housed here as well.

The Recurring Events or Courses section contains events/meetings/courses/trainings/etc. that occur over multiple (usually consecutive) weeks. “Recurring” events may refer to events that reoccur weekly (like Celebrate Recovery), for a set number of consecutive weeks (like a Course), or periodically but share details (like Volunteer Trainings leading up to a large event.)

The Staff Leave sections lists the approved staff leave dates for our Mosaic Team. If you have submitted a Staff Leave Request and do not see your name/dates listed, please contact the Director of Operations directly.

Locating Pertinent Information in each Column of the Asana Mosaic Calendar

The three main columns to pay attention to on the Asana Mosaic Calendar are the Name, the Assignee, and the Due Date.

The Name is simply the title of the event/meeting/course/training/etc. If an item contains a date, the date will be formatted as YYYY MM DD or YYYY MM DD – MM DD if occurring over the course of multiple days/weeks.

The Assignee is the “R” of a given item. This is often the team member who submitted the Event Support Form for the event/meeting/course/training/etc.

The Due Date is the date of the event/meeting/course/training/etc. If an event occurs across multiple days, you’ll see that listed here. Note: in some views, the item will not be visible until the final date of a Due Date. Be sure to double check.

When viewing a multi-week event (often a course) offered at Mosaic Church, each week/session of the event will be listed as unique line items in the Mosaic Calendar List.

Only the final week/session’s line item will contain the original Event Support Form submission information (Room, Time, Other Pertinent Details.)

When selecting a random non-final week/session of a course, you will see a limited list of information as it is simply a “subtask” of the larger course. See an example of this in the screenshot below:

To view the complete details, click the hyperlink at the top of the item. For this example, it would be the second line of text/ the link that reads “GROW: Forgiveness and Reconciliation 2025 06 08 – 07 06” which is the title of the parent item. Once clicked, the parent item (notice there is no hyperlink listed at the top of the parent item) will open and the details fields will appear as shown in the screenshot below:

Be sure to scroll down to see complete details. To see all of the weeks/sessions of an event/course, scroll down to the bottom of the parent item and view its “subtasks.” Here you’ll see all tied occurrences – including past occurrences. See an example of these dates in the screenshot below:
